PROGRAM:  Preservation Techniques: First Aid for Damaged Records

The workshop will be a hands-on experience in archival preservation designed to teach the basics of archival principals and practices for business and personal use.  You will learn how to slow down the aging process with proper handling and storage methods.  Attendees will receive an archival kit with selected preservation supplies, archival catalogs, and resource lists.  Photographs and negatives, newspapers and old documents, ripped document repair, archival supplies, and adhesives will be handled and discussed.  Bring your problems and examples of photographs, textiles, oversized documents, newspapers, old papers, family scrapbooks, and other things that need special care.

PRESENTER: Jenny N. Barker, CRM  ---  Barker Consulting, Inc.

Jenny N. Barker, CRM, has applied her degree in Library Service for 30 years to the world of business records.  Ms. Barker, now semi-retired after a long career designing classification systems for business records.  She now works part-time managing a private family archives where she is currently processing a new collection.  Her work with over 300 boxes of archival records led her to develop practical tools and techniques for handling, preserving, and cataloguing archival records.  Knowledgeable and generous archivists in the San Antonio area helped groom Ms. Barker's archival expertise.  In 2006, she attended The Western Archives Institute in San Diego which is affectionately referred to as "Archives Boot Camp" by participants.  Ms. Barker's active memberships in Denver, Houston, and San Antonio ARMA chapters contributed to her expertise incorporating archival records into retention scheduling and records management programs.  In 1979, Ms. Barker became a Certified Records Manager (CRM).  She has served on numerous boards and committees in her local ARMA chapters and the Institute of Certified Records Managers (ICRM).  She is currently a Director of the San Antonio Board of ARMA and leads the San Antonio CRM Study Group.

8:30 -   9:00  Registration - Vendor Show

9:00 – 10:15

Presentation: Managing records and Archives. This will include the life cycle of records, definitions, identification of records on the retention schedule, things to consider at the point of creation, types of archives.

Demo: Making paper. This will be a very simple demo on how paper is made. Lignin, additives, buffer agents, etc. will be covered.

Exercise: Ph and paper. Various types of paper will be supplied or can be brought by attendees. Each person gets a Ph pen to keep and learn to use.

10:15 - 10:30  Vendor Show/Refreshments

10:30 – 12:00

Demo: Newspapers. This will cover Bookkeeper spray. It will also review short and long term options for newspapers including interleaving and plastic sleeves. Samples will be shown.

Presentation: Humidity and Temperature Controls: Information will be handed out and presented on humidity and temperature controls for paper, film, textiles. Sources of equipment to monitor and measure humidity and temperature will be provided.

Exercise: File Folders /Boxes/Fasteners: Attendees will make two samples for their reference using bad fasteners and good fasteners. Information will be provided on how to remove old staples and pins. Session covers pins, paperclips, staples, rubber bands, glue and other adhesives.

12:00 - 1:00  Lunch/Vendor Show

1:00 – 2:30

Presentation: Photographs, Slides and Negatives. Definitions and sources of technical information will be provided. The "Poly" Sisters will be introduced and samples of various photo sleeves, slide sleeves, and negative sleeves will be available.

Exercise: Photo Albums: Attendees will make two samples of how to affix photos in an album. This includes glue, photo corners, and hinges.

Exercise: Ripped Paper Repair: Attendees will make two samples – the good way and the bad way!

Exercise: CD's.

Presentation: Textiles: Basic textile storage will be covered. The use of buffered and unbuffered tissue paper will be explained.

Optional Demo: One attendee will be chosen to handle a textile for storage.

Presentation: Oversized Documents, Rolled Items. What you do with BIG things will be reviewed.

2:30 - 2:45  Vendor Show/Refreshments

2:45 – 4:00

Exercise: Review Resources in take-home kit: Attendees will be provided vendor catalogs and sticky notes. They will be asked to look at specific pages for examples, information, etc. for their future reference. (This would be a good time to talk about what the vendors who are in the vendor show have to offer specific to Archival collections)

Presentation: Books, Training, Organizations.  Resources: Information on books, training, organizations and state agencies will be provided.

Presentation: Disaster Recovery/ Conservation: A very brief discussion of what to do when the disaster hits.

Presentation: Scrapbooks and Mixed Media. At this point we put it all together and also talk about long-term use and storage of these items.

Exercise: Show "N Tell Attendees will bring their examples to the front and as a group we will determine the appropriate preservation technique applying what we have learned.
